Swim Meet: June 4: Woodstock Knoll @River Green

Hi parents,

We are excited for our 2nd home meet of the season tomorrow, Junen 4 at River Green. We will be hosting the Woodstock Knoll Kracken tomorrow.

There is a lot of important information in this email, so please read it!

1. Arrival: Please arrive at 4:30 and have your swimmer ready to be in the water promptly at 5pm for our warm-up.

2. Swimmers: All River Green swimmers need to set up and stay in the River Green bullpen area. This year we will have designated bullpens and volunteers for 10 and under swimmers, but 11 and up swimmers still need to set up and be in the River Green bullpen area. The coaches are asking that all swimmers hang out in that area so that they can be easily located for their events.

Parents--please remind your swimmers to listen to the bullpen and ready bench volunteers. They are working to get swimmers to their events on time and they need swimmers to stay in their bullpen area and NOT be in the baby pool or sticking their feet in the main pool. Thank you for your support in this!

3. Volunteers

If you are a volunteer, please sign in with the Volunteer Coordinator after your drop off your swimmer unless you are working the bullpen: We need all bullpen volunteers to arrive and start checking swimmers in starting promptly at 4:30pm.

Sign in with volunteer coordinator at these times:

Bullpen and Hospitality: 4:15pm

Concessions and Set-up crews: 4:30pm

Timers: 5 pm

Deck Managers and Ready Bench: 5:15pm

Place Judge, Judges Recorder, Master Recorder: 5:30pm

If you are not volunteering, take your swimmers directly to the bullpen.

I'm still missing volunteers for the following shifts: 

2nd shift: deck manager, master recorder, ready bench, 

Both Shifts: volunteer coordinator

Please remember that every family needs to have 8 volunteer points--please sign up for shifts if you have not already. We will train you if you don't know what to do!

4. Caps: If you have not picked up your cap, I'll have a box with the caps in it. You can come to the volunteer table to pick it up. 

The easiest way to put on a swim cap is with the logo on the side of your head. If you are having trouble, please ask for help!

This post details the order of events, bullpen set up, weather cancellation, what to bring, how to mark up your swimmer, concessions, etc.

6. Concessions: We will have pizza, hot dogs, snacks, and drinks available in our concession stand. We accept cash and Venmo. We will also have the Kona Ice truck available. Thank you to all who have donated drinks to our concessions!

7. Mark-up your swimmer: The coaches ask that you PLEASE mark up your swimmer before arriving at the meet. Every swimmer needs their name and age on their back (use a sharpie). For example: Sara 7

They also need to have their events, heats, and lanes listed on their arm or leg.

8. Personal Belongings: Please write your swimmer's name on their team shirt, towels, water bottles, etc. We always have a lot of items left behind after a meet. It helps to get them back to you if you have your name on it. If not, we will put left behind items in the pool lost and found.

9. Clean up: After the meet ends, we ask that all parents and swimmers please help us to reset the deck. We need to pick up all trash and move all furniture back to its normal position. We just have to get it generally in the correct spot--so don't worry too much if you don't know exactly how many chairs go in each spot. You don't need to wait for a certain time to start set-up--as soon as the meet ends, we can begin moving furniture. Thank you so much for your help!
